Event Management Tips Part 2

Several weeks I shared with you tips of preparing a successful event with my emphasis being on a party. Just to recap the main aspects to focus on are: planning, delegation of duties,
event theme, and venue, food, sending out invitation, decoration and interaction during the event.

All events are different and there are additional features that one should put into consideration.

Marketing and Advertising
Edwin Muricho a good friend of mine in the Marketing and Advertising industry reminded me how crucial this industry is in event management. For major events such as national events and trade fairs it is important to invest in advertising. This will help you to reach a greater audience and even attract event sponsors.

Purpose of Event
Every event is organized for a specific purpose. It may be a celebration, get together, displaying of products and services or charity. It is important to define the purpose of your event during the planning stage. The purpose of your event will determine your venue, audience, and timing among other things.

Response to Invitations
Last time I mentioned about sending invitations. When you send out invites check the response from your guests.You need to know how many people RSVP so as to avoid being embarrassed on the day of the event.

Service Providers
If your are planning an event that requires services from external providers ,get quotations early enough.Then make sure you draft a contract for each service provider. Once the suppliers have signed the contracts, make a commitment by paying a deposit where necessary.

NB: Do not forget to be in constant communication with your suppliers so as to avoid any disappointments.

Permits
You do not want to be in the wrong side of the law as an event organizer. Make sure you get permits from the local authorities in good time and not on the day of the event.

Documentation
Take pictures and videos if possible to preserve memories of that day.

Security
Finally you should secure your venue. Your guests /audiences want to feel secure. Hire security if need be so as to deal with gate crushers and anyone who decides to misbehave.
